Now that is a question a lot of people struggle to say yes to.  You may wonder why that is, well in my experience people who struggle to delegate often feel as though they will be losing the knowledge and power that doing the task gives them.

It is also sometimes felt that it is just “easier to do it myself”, this is not the case and generally by investing some small time upfront to train another person, will in the long run give you the time to do something else.

When deciding on whether to delegate I find Career and business strategist Jenny Blake’s 6 T rules a good model to follow.

Tiny – These tasks are the small things that don’t take a long time to complete but over time add up, these are tasks such as arranging meetings, booking travel arrangements, inbox monitoring etc.

Tedious – These tasks are usually seen as boring and repetitive, such as data entry, copying and pasting information from one spreadsheet to another, these sort of tasks usually require little skill and can easily be delegated. 

Time consuming – With these tasks you may have the opportunity to break the work into smaller bite size chunks and delegate some of them.  For tasks that are carried out regularly, by looking at the process steps you may be able to delegate some of the steps to others.

Teachable – If you can teach someone else to carry out the task and it is not something that only you have the skills to perform then these are the ideal tasks to delegate.

Terrible at – Perhaps you do not have the skills to create a spreadsheet using different formulas so it takes you twice, three or more times as long to complete it.  This can be delegated to someone who is more adept to carry out the work quickly and to the right standard.

Time-sensitive – If a project or task has a deadline and you feel that you will be unable to complete it in time by doing it on your own or that if you do it may not be the best it could have been, see if you can delegate parts of it to others so that the deadline is met with a quality piece of work.
